As Planhat scales, our people infrastructure needs an owner who can turn operational excellence into a competitive advantage. This role ensures processes run smoothly, systems stay optimized, and teams get the support they need so they can focus on what they do best.
You'll own the full spectrum of people operations across the Planhat group. This means making sure people operations run like clockwork, keeping our HRIS and systems optimized, and being the go-to person when hiring managers need support e.g. related to new hires, transfers, promotions, terminations or other people related matters.
Nothing is purely transactional here, you'll continuously improve processes, reporting, and systems to scale with us. You will collaborate closely with other departments in making sure that what and how we do things aligns with our overall ambitions, operations and compliance needs.
Key responsibilities:
Core Operations
Own end-to-end employee lifecycle administration across three entities (Sweden, UK, US)
Manage onboarding, transfers, promotions, terminations, and all related documentation
Maintain HRIS and people systems; ensure data accuracy and reporting capabilities
Oversee EOR relationships (Deel) and consultant arrangements
Be the go-to resource for hiring managers navigating people-related questions
Strategic & Cross-functional
Continuously improve processes, systems, and workflows to scale with growth
Partner with Finance on payroll, compensation administration, and benefits
Collaborate with Legal on contracts, compliance, and entity-specific requirements
Work with Security on access management and offboarding protocols
Identify gaps, build solutions, and ensure follow-through
Process-driven executor: You see gaps, fix them, and build systems that last
Cross-functional collaborator: You work seamlessly with hiring managers and other departments such as finance, legal and security
Practical and tech-savvy: You understand HR implications and aren't afraid to roll up your sleeves with tools and systems
Multi-entity experience: Comfortable navigating different jurisdictions (ideally Sweden, UK, US) and EOR setups. You understand local nuances and adapt our processes to fit internal and external requirements, and know when to bring in expertise
Sound judgement: You understand HR and legal implications well enough to make good calls, prioritize effectively, and know when to involve specialists
Cultural alignment: You thrive in a fast-paced, pragmatic environment where change is the only constant

This is an office first role, based in Stockholm with occasional travel to the UK and potentially the US. The majority of our team works from the office 4-5 days a week, and we are strong believers in in-person collaboration.
