Zapier
Zapier acts as a universal bridge, allowing teams to coordinate Planhat data with thousands of third-party applications without custom code. This connection transforms Planhat events into cross-platform triggers and enables external tools to write record updates directly into your customer workspace. By bridging these systems, operations teams build self-service Automations that scale post-sale processes without engineering dependency.
Unlock the power of Zapier with planhat
Improve net revenue retention
Defend recurring revenue by triggering proactive retention plays in external engagement tools. By mapping the New Note trigger to outbound communication platforms, teams ensure immediate follow-through on qualitative risk signals captured during customer calls.
Shorten time to value
Shorten time-to-value with automated cross-system coordination during implementation. Teams utilize Zaps to fire external actions—such as creating project boards in Trello or Monday.com—the moment a new customer record or activity is initialized in Planhat.
Increase process governance
Standardize record creation across the tech stack by centralizing inbound data entry. Using Zapier to automatically generate Companies, Contacts, and Logged Activities ensures that information originating in niche tools lands in Planhat within a structured, governed model, reducing manual re-entry errors.
Improve commercial predictability
Improve forecasting by removing technical barriers to data orchestration. Operations teams build their own lifecycle Automations to ensure data required for Health Scores and renewal reporting flows consistently across tools like Xero or specialized project management systems.
how it works
Flow & configuration
Secure individual or organizational authentication
Authorized administrators initiate the connection within Planhat’s App Center to retrieve a unique API access token and API subdomain. These specific credentials are required to verify the Planhat tenant and authorize the "app" inside the Zapier environment.
Configure Planhat-originating triggers
Teams define Zaps that fire in response to specific commercial events within Planhat. The integration supports triggers for when a New Company is created or a New Note is added. Note that the New Note trigger applies exclusively to Logged Activities and does not support Planned Activities.
Define inbound record creation rules
Establish the flow of data back into your customer operating layer through Zapier actions. Planhat supports inbound creation for Companies, Contacts, and Logged Activities, allowing external apps to populate your system of record as external milestones are met.
Manage token hygiene and beta reliability
As the native integration is currently in beta, operations teams must periodically monitor organizational tokens and API subdomains to maintain sync reliability. Regular audits of token validity prevent gaps in mission-critical customer alerts or cross-tool workflow breakages.
